Department Assistant - Registrar's Office

°Ç¸ç³Ô¹Ï seeks a full-time Department Assistant to handle daily operations for the Registrar’s Office, perform a wide range of administrative and office support activities, and serve as the office’s initial point of contact for students, faculty, staff, alumni, and other members of the public.

 

Job Responsibilities

  • Process all registration, add/drop requests, withdrawals, including first-year studies (FIYS), independent study & theses, internship placeholders w/a manual transcript note, and waitlist management requests from faculty during registration closed period.
  • Send communication to students about important dates in academic calendar.
  • Send communication to request batch registration rosters (Education and Music) and update records.
  • Set up form flow start and end dates for each term (Pass-No Pass, Withdrawal, Reversion).
  • Resolve student registration problems, concerns, and questions.
  • Conduct accuracy checks for all enrollment updates.
  • Process incoming requests for current and former students, including enrollment and degree verifications (FormFlow & Clearinghouse), transcripts (Parchment), name/demographic change, grade changes, Pass/No Pass reversions, and course audit).
  • Process additional form flows (FFC Retroactive, FFC non-credit application, FFC non-credit project completion, FFC sum of fractional credit completion, Expected Summer Graduate Commencement Participation form).
  • Process all program transfers (Major, Minor and Assigned Advisor requests).
  • Process Leaves of Absence and Withdrawals (LOA/WTHDs) and re-entry requests.
  • Process Academic Probation (On/Off/Continued) determined by the Progression Committee.
  • Monitor holds, time conflict and over enrollment on student records.
  • Serve as frontline resource for visitors, answer questions, direct inquiries as appropriate.
  • Answer incoming phone calls or voicemail messages.
  • Respond to Registrar's inbox email communications in a professional manner with strong writing skills.
  • Drafting correspondence related to registration and student records.
  • Digitization of archived records.
  • Adhere to college policies and FERPA guidelines.
  • Send communication to prospective graduates regarding diploma name and address.
  • Process diploma name and address changes, submit duplicate diploma orders and prepare diplomas for mailing.
  • Assist with managing Course and Advisor Evaluations.
  • Assist with training student worker on front desk coverage, degree audit assistance, data entry, paperwork processing and other tasks as assigned.
  • Work on special projects as needed.

 

Qualifications

  • Associate’s degree required or equivalent work experience; Bachelor’s degree preferred.
  • At least one year of related office experience required; Experience working at a college/university preferred.
  • Excellent organizational skills, orientation toward detail, ability to maintain the highest level of accuracy.
  • Ability to work independently under general supervision.
  • Strong interpersonal and communication skills with the ability to communicate effectively, both orally and in writing. Ability to work effectively with a wide range of constituencies in a diverse community, and the ability to foster a cooperative work environment.
  • Strong knowledge of all standard computer applications, including Microsoft Office products, with advanced level skills in Microsoft Excel as it applies to data management. Experience with Jenzabar is helpful.
  • Proficient with technology-based communication mediums such as Teams or Zoom.
  • Familiarity with and/or ability to learn to use student information systems software and website management software. Comfortable using and learning new technology/software.

Pay rate: $21-$22/hour
